Administration Officer – England Central

We are recruiting an Administration Officer to provide an effective and comprehensive range of administrative support to workstreams/projects, which will enable the charity to fulfil its function across Central England to a high-quality standard.

What you will do:

Coordinate training bookings, using the diary system, email and databases to ensure training is organised, allocated and delivered.

Create resource pack for colleagues delivering training courses and workshops.

Help to facilitate training delivery nationally, responding to email and telephone enquiries, ensuring preparation, materials, resources, venues, for all events are in place when required.

Help to plan, contribute to and attend PAPYRUS conferences, workshops and events as required.

Collate evaluations and feedback from training and project work.

Act as a first point of contact, including enquiries which may be complex in nature; assessing the nature and urgency of the correspondence and responding or referring to colleagues as appropriate.

Record all enquiries and contacts using the CRM database and ensure that the database is maintained and accurate at all times.

Assist with managing the office diary, arranging and organising meetings/bookings as required.

Manage stock and resources ensuring that the required items are available.

Administer petty cash as required in line with financial processes.

Respond to orders and other requests for information, from stakeholders, by phone, mail and email, according to policy and keep accurate and up to date records.

Undertake general clerical and administrative tasks to support the service as required (e.g., posting items, photocopying, scanning).

To be successful in this role you will have:

Demonstrable experience in an office administrator role or equivalent

A good working knowledge of Microsoft packages (e.g., Word, Excel, Access, PowerPoint) and hands on IT experience of database packages including electronic filing systems and online platforms.

Ability to work effectively with internal and external stakeholders.

Ability to resolve issues and identify solutions, seeking support and guidance where required

Salary: £23,114 per annum (NALC Scale SCP 4) progressing by increments to £23,893 per annum (NALC Scale SCP 6)

The team work within Cats Protection to identify issues and provide technical solutions, utilizing both off the shelf products or in-house developed solutions as required. Responsibilities of our Power BI Developer:

As a Power BI Developer you will be working with a number of departments within Cats Protection to understand their data and reporting requirements. You will need to identify any quality issues with their data, as well as work with the departments on how best to resolve historic data issues and improve processes to ensure future data is captured to a high standard. The data will then need to be moved in to our Power BI platform where you will create user friendly and accurate reports to show this data.

Current projects include:

• Supporting existing reports and dashboards for Neutering Finance to track processing times and backlog
• Building a number of reports for our Volunteering teams to track foster home inspections, volunteer availability, and surveys of the volunteers
• Supporting a network of Power BI Champions within the organisation, providing them with data and supporting them in finetuning reports to better inform decision-making

What we’re looking for in our Power BI Developer:

- At least 3 years of experience using Power BI and extracting data from SQL, Excel and SharePoint.

- Experience presenting data in a format that users can understand

- Knowledge of the PowerApps platform

- Knowledge of Azure Data Factory and ETL processes

- Someone with a logical, analytical approach to problem solving

- Knowledge of the appropriate professional and/or legal data standards

- A customer focussed individual

- A keen eye for detail, ensures all work is carried out to a high standard

Organisation Overview

CDS UK (the Clinic for Dissociative Studies) is a psychotherapy service, established 25 years ago to provide assessment and long-term specialist outpatient treatment to people with dissociative disorders. Its patients have often suffered the most extreme forms of abuse over a long period, and represent one of the most vulnerable and complex client groups. CDS UK is a Charitable Incorporated Organisation (CIO) and an Independent Provider to the NHS, and is subcontracted by NHS commissioning organisations nationally on a discretionary perpatient basis, where local mental health services are unable to provide appropriate treatment. CDS UK has a small core team of employees, mainly based around London, and a larger group of associate therapists, support workers and supervisors working throughout England and in Scotland. The organisation has seen steady growth in referrals over the past few years.

Job Summary

One of the key elements of the role will be to manage a caseload of referrals from receipt of referral through to submission of funding application and referral outcome. The postholder will be one of two people within CDS UK’s core team with responsibility for this. 

There will also be an allocations management function, involving matching new (and/or existing) patients with suitable clinical staff, usually from within CDS UK’s group of associates, but sometimes via the recruitment of new practitioners.

The role will include a range of other tasks key to the successful functioning and development of CDS UK. Amongst these are maintaining a log of, and costing where appropriate, allpotential service developments (from requests for training to submissions to funders), developing reporting from basic information systems, checking and sending of patient progress reports and monitoring of patient funding. They also include developing our outgoing communications – such as via our website – and helping to explore opportunities for developing our charitable arm.

As part of our small Business and Administrative Team, the role will encompass some ad hoc administrative tasks, and may require delegation of some tasks and/or some line management duties as required.

The post-holder will work on their own initiative and independently deal with issues of workload and problem-solving, becoming a specialist in their areas of work within an agreed period, supported with appropriate training if required. This will include responsibility for analysing, interpreting and comparing a range of complex material, proactively reporting on key metrics, and helping to develop systems and procedures to serve the aims of the organisation.

About the role

Up to date knowledge of charity tax rules including VAT and partial exemption, experience of using MS Dynamics, Netsuite , report writing skills and experience of system change/integration will be desirable.

As a Support Worker you will be expected to enable and support vulnerable individuals with complex needs to address this while maintaining their tenancy with the long term goal of living in an independent setting by providing flexible and individually tailored support package. Working with excluded and hard to reach customers can be challenging, however, with intensive support this challenge can be broken. You will need to be able to engage our customers in a non-judgmental way. You will also be responsible for dealing with emergencies that may arise during your shift whilst remaining calm and using initiative then writing up incident reports amongst other administrative tasks.

As a support worker, you will be working as part of a team as well as with external agencies such as London Probation Service, local substance misuse services, Mental health teams, and police amongst others. Sometimes customers may not be linked in with agencies when they entre the service, as a support worker it is part of your role to ensure they are receiving the correct support from agencies required. Ideally, you will have experience of working with vulnerable people or an understanding of the needs of homelessness. You will be required to support customers with managing their arrears; ensuring housing benefit is applied for as well as monitoring payments and acting appropriately if payments are suspended in order to ensure customer does not fall into any arrears.

You will be responsible for supporting the working shift pattern of the service which is a five week rolling rota which consists of working some weekends as well as long days.

There will be a rota for shifts, with working patterns of 7:30-15:30 and 12:30-20:30. There will be some weekend work.

This role requires a valid Right to Work for the UK as Look Ahead are not a sponsoring organisation.

What you'll do:

Work proactively with Slough Hostel team to handle the service caseload and support an effective team approach to meeting each customer's identified needs.
Motivate the team and champion a positive local culture within the service.
Contribute to a positive service environment, ensuring the service is supportive and a place of safety and stability for customers. This includes working flexibly and being proactively in delivering, reviewing and arranging effective support for emerging needs and risks in order to prevent escalating concerns.
Deliver all aspects of support to enable a customer to develop independent living skills as appropriate to the individual needs of the customer. This may include practical tasks, such a facilitating group actives
Support customers to undertake domestic tasks, including practical assistance to ensure a high quality living environment that promotes customers' dignity, respect and allows customers to feel safe and welcome in their own home.
Participate in support planning, risk management and assessment of needs in line with support planning.
Work with customers to promote social inclusion to promote independent living, encouraging customers to maximise their skills and choices.
Involve customers in the design, development and delivery of the service through co-production.
Report and react to any observations relating to customers welfare.
Proactive development of links with local statutory and voluntary organizations to provide a range of engagement opportunities for customers in the community.
Competent use of relevant systems, company policies and frameworks.
Adhere to all the policies and procedures of Look Ahead Care & Support plus those specific to the project including any statutory requirements.
Carry out other duties commensurate with the designated role level, as may be deemed reasonable by Look Ahead including working at an alternative patch, if such a need arises.

MedEquip4Kids is a Manchester based national charity that improves the health of babies and children across the UK by providing hospitals with equipment not available from limited NHS resources. They work on everything from terrestrial to marine restoration to bring about nature’s recovery, for the benefit of all. Despite Blue Planet and more recently the Wild Isles series, they still have a job to do, to raise the profile of the sea and all that lives within it. 

They know that their coastline is under increasing pressure, and they need to do more to restore and conserve it for future generations – are you the person to help them do that? The coast is changing as sea-levels rise. Without planning, coastal change can be catastrophic for people and sometimes for wildlife. Planning and designing realignment in front of future sea-level rise makes sense, but opportunities are limited. This post will help The Trusts identify those opportunities and coordinate funding and licensing to ensure that realignment works both for those communities affected and helps to restore their wonderful coastal wildlife. 

You will have a detailed understanding of coastal processes, including relevant nature conservation issues. You will need to enjoy working in a fast-paced environment, be organised and resourceful and have meticulous attention for written detail as well as a passion for their cause. You will need to have excellent communication and facilitation skills, be adept at working with lots of information while able to bring out the best in the way they emphasise the work of The Trusts to all.
